Meetings & Attendance

Initial Semester Kickoff Meeting

During the first day or two of the semester a kickoff meeting is held to announce team and project assignments and to provide general instruction on course policies, processes, and expectations.  This meeting usually takes place late in the afternoon.  It is important that you attend this meeting because there is a large amount of information reviewed.  Having to take time in individual team meetings to discuss information that you should already know wastes my time and that of other team members.  If you are ill or have another significant reason for missing the session, allowances will be made.  However, if you are not able to attend, please notify me before the sessions and provide local contact information so that I can past it along to other members of your team.

Weekly Team Meetings

Each week we will hold a project review meeting with members of your team.  The meeting is schedule at a time that works for all of us.  Please arrive by the scheduled start time.  Arriving late can waste the time of those who have arrived on time.   You are expected to attend this meeting each week unless you are ill or have some other significant reason for being away from campus.  If you need to miss a meeting, you are expected to notify the other members of your team and the course instructor in advance of the meeting.  Be sure to provide information to your teammates regarding the status of your work during the previous week.  If you are ill, please be considerate of the other meeting participants.  Don't attend if you are likely to pass along something contagious.  If you are a smoker, please don't smoke immediately prior to the meeting and don't wear clothing that has the smell of stale smoke.

The focus of the weekly meeting is to report on the status of the project, what each of you has done during the week, to help you plan the next segment of your project, and to discuss any specific issues that may be concerning the team.  Your course instructor will also provide guidance on what things you should be doing.  Your are expected to prepare meeting agendas and to create meeting minutes to document the discussions and decisions.

Some teams may have a customer who wants to actively participate in the project and needs to interact with the team on a frequent basis.  This will take place in a separate portion of the weekly meeting time block.  The purpose of this meeting is to give the customer an update on the status of the project and to discuss any project issues that need the customer's input.  The customer may also make suggestions about what he / she thinks you need to be doing in order to meet his / her requirements.  Meeting agendas and minutes are required.

Customer Presentations

Several formal presentations to your customer are made during the semester.  Each member of the team is expected to make at least one of these presentations and each is expected to attend all of the presentations.  Arrive for the presentation 5 to 10 minutes before the scheduled meeting start. If you are ill or have other business that precludes attendance, please notify the other members of your team and the instructor.  Ensure that those who do attend have all the information they may need to conduct a successful presentation.  If you are ill, please be considerate of the other meeting participants.  Don't attend if you are likely to pass along something contagious.  If you are a smoker, please don't smoke immediately prior to the meeting and don't wear clothing that has the smell of stale smoke.

Guide sheets are available for the Product Release Presentations and the Project Final Presentations.  Meeting minutes are required.
